PRIVACY VERSION 2026-09-24

Privacy Policy

Effective September 24, 2026. This policy explains how That’s Booked Up processes information used by the platform.

1. Information we process

Depending on how the service is used, That’s Booked Up can process:

  • professional account details such as name, email, authentication and business settings;
  • service, availability, booking-rule and payment configuration;
  • client contact details, Instagram identity, enquiry messages and booking information;
  • reference images or attachments supplied for a booking enquiry;
  • payment metadata such as amount, currency, payment method and provider identifiers;
  • technical, security and delivery information needed to operate and protect the service.
  • support requests, issue descriptions and the page context supplied when a professional asks for help.

2. Why we use information

Information is used to provide account access, process enquiries and bookings, operate AI-assisted intake, send messages and reminders, support payments, maintain security, diagnose delivery problems, prevent abuse, provide support and improve reliability.

3. AI processing

When AI features are enabled, relevant conversation text, booking context and business instructions can be sent to configured AI providers so the booking assistant can generate a response. The product is designed to keep professional judgment with the human operator and to support human handoff when appropriate.

4. Service providers

The platform can use third-party infrastructure and service providers for hosting, AI, payments, email and messaging integrations. Depending on enabled features, these may include Render, OpenAI, Anthropic, Stripe, Resend and ManyChat. Providers process information according to their own terms and agreements with the service.

5. Payment information

That’s Booked Up does not need to store a client’s full payment-card number. Card and payment processing is handled by payment providers such as Stripe. The platform stores only the payment status, amounts, method and provider identifiers needed to reconcile bookings and payments.

6. Retention

Current product policy targets retention of client messages and reference data for up to 24 months after the client’s last activity, unless earlier deletion is requested or a separate financial or legal reason requires limited records to be kept. Technical logs and completed background-job records are generally targeted for approximately 90 days.

7. Data export and deletion

Professional accounts can download a portable account data export from the workspace. A professional can also request client anonymization and account deletion using the privacy controls in Settings.

When a professional account deletion is requested, access is disabled and the current product policy provides a 30-day recovery period before permanent deletion or anonymization. Client anonymization removes direct identifiers, messages, Instagram identity and reference images while allowing limited anonymous financial facts to remain where needed.

8. Security

The service uses access controls, authenticated sessions and other technical safeguards intended to protect stored information. Integration secrets and password hashes are excluded from user data exports. No internet service can guarantee absolute security.

9. Professional responsibilities

Professionals using That’s Booked Up are responsible for using client information lawfully and for providing any notices, obtaining any permissions, or following industry-specific obligations that apply to their own business.

10. Your choices

Available controls can include data export, correction through account settings, client anonymization, account deletion and disabling optional integrations or AI features. Some records may need to be retained in limited form for security, fraud prevention, payment reconciliation or other legitimate obligations.

11. Updates to this policy

This policy may change as the product, providers or data practices change. When a material Privacy Policy version changes, professional users may be asked to acknowledge the new version before continuing to use the workspace.

12. Contact

Privacy questions and requests can be sent to privacy@thatsbookedup.com. General support is available at support@thatsbookedup.com.
